Who’s who

This Privacy Notice is for residents from all countries (excluding countries in the European Economic Area (EEA), UK, Ireland, USA, Canada, Brazil, China, Philippines, Australia and New Zealand) who purchase a World Nomads travel insurance policy on or after 1 August 2019 (AEST). If you are a resident of another country, please read the full World Nomads Privacy Policy and the terms and conditions for your country of residence.

In this privacy notice, “we, our, us” means nib holdings limited and its related entities in the nib Group of companies in Australia and other countries.

What we need

In order to arrange and manage your travel insurance, we collect basic personal data (for example name, address, phone, email, date of birth and IP address) about all people on this policy. In the event of a claim, we may collect your special category data about you or others who may impact your claim such as sensitive or health related information, from you directly and those authorised by you such as family members, healthcare providers, and others we consider necessary including our partners, associates, government entities or service providers.

When you provide personal information about other individuals, we, our agents and your insurer rely on you to have made them aware and obtained their consent that you are providing the information to us, how they can access it and all other matters described in this Privacy Notice. 

Why we need it

We need to know and process personal and sensitive information you provide to administer and provide the insurance services, such as providing you with emergency assistance, manage your membership (where relevant) and to manage your and our and your insurer’s rights and obligations in relation to the insurance services, including managing, processing and investigating claims or fraud.

We will also securely store and transfer any data you supply with any claim lodged so that your insurer or their agents may manage any claim in line with the contract between your insurer and you.  We also do some processing because it helps us run our business, such as research, statistical analysis and marketing. We will not collect any personal data from you we do not need in order to provide and oversee this service to you.

What we do with it

We will only use your information in ways we are allowed to by law, which includes only collecting as much information as we need. We will get your consent to process information such as your medical information when it's necessary to do so.

Your personal and sensitive information may be processed by our staff in Australia, Europe or the Americas or securely disclosed to third parties involved to provide you with insurance services, such as travel agents and consultants, travel insurance providers, insurers and reinsurers, claims handlers, investigators and cost containment providers, medical and health service providers, IT service providers, legal and other professional advisers, your and our agents and our related companies. Some of these third parties may be located in other countries such as Australia, Europe, UK, the Americas. The transfer of data is only done so when necessary for the performance of the insurance contract.

For the purposes of IT hosting and maintenance, this information is located on servers in Australia. We have a Data Protection regime in place to oversee the effective and secure processing of your personal data. More information on this framework can be found in the World Nomads Privacy Policy.

We want to reassure you we never sell personal information to third parties and no third parties have access to your personal data unless the law allows them to do so.

What we would also like to do with it

With your consent, we may also collect, use, process and disclose your personal information for product development, marketing, competitions, research, IT systems maintenance and development, recovery against third parties and for any other purposes with your consent or where authorised by law. We may also use your claim description (excluding all identifying personal data) for marketing purposes. This information is not shared with third parties and you can unsubscribe at any time via phone, email or our website.

How long we keep it

We are required under relevant tax law to keep your basic personal data and any special category data for a minimum of 6 (six) years after which time it will be destroyed. Your information we use for marketing or research purposes, where you have consented, will be kept with us until you notify us that you no longer wish to have your information used for this purpose.

What are your rights?

You are entitled to object to us processing your personal data. You may also ask us a copy of the data we hold for you. You may also request us to correct or delete certain data, restrict processing of your data, or ask us to transfer some of this information to other organisations. In some cases you may object to the processing of your data and, where we have asked for your consent to process personal data, you can withdraw this consent at any time. Where we process your data for our legitimate interests, you can contact us if you want more information about these legitimate interests.

We rely on your consent to provide these services to you. If you do not agree or do not provide us with your personal and sensitive information or you withdraw your consent, we or your insurer may not be able to provide you with our services or products including being able to process your application for insurance or handle your claim.

You can seek access to and correct your personal information by contacting us. You may not access or correct personal information of others unless you have been authorised by them, or are authorised under law or they are your dependents.
