What to do if your passport is stolen

If your passport is stolen while you’re on your trip, follow this guide on what to do next. Rest assured knowing that our policies may help cover your extra costs while you arrange an emergency replacement passport.

Here’s what you need to do:

1. Report the incident immediately

Report the incident to the relevant authorities and make sure you get a report from them. Relevant authorities may include:

  • The local police.
  • The nearest New Zealand embassy, High Commission or consulate (the New Zealand Government may also accept online notifications).
  • For visas and passports from other countries – contact the relevant embassy.
  • Any other relevant parties, such as the airline, hotel or tour operator.

Important: For some countries, it may be an offence not to report the loss or theft or your passport as soon as you learn of the loss. It may also affect your travel insurance cover if you don't report it immediately. Contact us if you need help.

2. Arrange a replacement or emergency passport

Check the process to apply for an emergency or replacement passport with the nearest New Zealand embassy. To organise a replacement, you may need:

  • a passport photo,
  • ID (driver's license or expired passport),
  • evidence of citizenship (photo of your missing passport),
  • your e-tickets or itinerary,
  • You may also need a police report.

If you need to travel to a different location to apply in person or collect your emergency passport, you should arrange to do this.

3. Rearrange or cancel any affected travel arrangements

As soon as you know that any of your travel plans are going to be affected, contact any accommodation, tour, transport and other providers to rearrange or cancel any plans you may have.

Make sure you get confirmation from them in writing of the changes or cancellation and keep receipts and details of any refunds or extra fees paid.

4. Keep your receipts

You'll need to keep all official reports you were given and all original receipts as evidence to support a claim on your travel insurance policy, including your itineraries and booking and cancellation confirmations for any affected transport, accommodation and additional expenses.

In the event of a claim, provide all your supporting documentation such as receipts.

5. Will my travel insurance cover the cost of replacing my passport?

Our policies may cover you for the official processing fees to replace your passport if it got lost stolen or was accidentally damaged.

If your trip is interrupted as a result of your passport being stolen, if it got lost, stolen or was accidentally damaged, we may cover you for reasonable and necessary additional travel and accommodation expenses incurred to replace these items. 7. Passport-safe tips

  • Always keep a copy of your passport in some form – whether that’s a photocopy or a photo on your device(s). Play it safe and have copies in multiple forms.
  • Travel with some spare passport-sized photos just in case
  • Lock up your passport when you’re not using it
  • Emergency passports do not permanently replace your passport. They can be issued quickly with limited validity so you can return home or continue with your trip.

What to do if you must cancel your trip due to illness or injury

1. Rearrange or cancel your bookings straight away

If you’re injured or get ill during your overseas holiday, ask your treating doctor to give you a report or medical certificate stating your diagnosis and period that you will be unfit for travel. Then contact the airlines and hotels with whom you have bookings as soon as reasonably possible. Try to make alternative arrangements for when you’ll be fit to resume your holiday.

If your doctor believes there is no option but to cancel your holiday and return home, then you may be covered for any of your previously paid, non-refundable expenses. However, if you are only unfit for a brief period, then your expenses may only be covered for the time stated on your medical certificate, not for the remainder of your holiday.

Don’t leave it to the last minute to cancel or rearrange your hotel or airline bookings as this may lead to additional costs. If you delay notifying these organisations, then your claim for expenses may not be approved.

Any cover offered for accommodation and flights will only be made up to the maximum benefit limits stated in your Policy Document. That’s why it’s important to read through your policy so that you know the applicable terms and conditions, limits, and exclusions.

2. Provide all written documents

To submit a claim for expenses, you’ll need to submit all the medical reports related to your illness or injury, as well as general correspondence regarding your cancellations. Examples of reports you’ll need to provide include:

  • The treating doctor’s report or medical certificate must state the diagnosis, date of injury or when you first noticed the symptoms of your illness, and period that you’ll be unfit to travel.
  • The specialist’s report and other medical reports including any medical imaging and pathology reports.
  • A hospital admission report confirming the dates that you were admitted and discharged.
  • Emergency medical transport reports if you were taken to hospital by an ambulance or helicopter.
  • Police report (if the police were called to the scene of your accident).
  • Emails or letters from hotels or airlines regarding your cancellations.
  • Your itinerary.

3. Don’t forget your receipts

If you cannot provide receipts for your accommodation, flights, and treatment expenses, then your claim may be dismissed, or any payment that you do receive might only be for a minimal amount. Types of receipts that you’ll need to provide include the following:

  • Receipts for doctor’s consultations, hospital stays, medical imaging tests, and consultations with any allied health providers.
  • Pharmaceutical products.
  • Accommodation, flights, train, or bus journeys.

4. Cover for some COVID-19-related events

If you or one of your travelling companions’ contracts Coronavirus (COVID-19) during your overseas holiday, and have to cancel the rest of your trip, then your pre-paid, non-refundable travel expenses may be covered if you have selected the Explorer Plan.

You’ll need to ask your treating doctor for a report stating the diagnosis of COVID-19, as well as a pathology report or public health statement indicating a positive COVID-19 result.

If you are diagnosed with COVID-19 within the 72-hour waiting period after being issued with your Certificate of Insurance, then your non-refundable travel expenses may not be covered.

5. Need to know more?

This information may help if things go wrong, and you want to make a claim. All travel insurance plans are different, and cover will vary, depending on what’s happened, your Country of Residence, the plan you choose and any options or upgrades you buy. Your Policy Document will always have the full details of what you’re covered for.

Three plans to choose from

World Nomads offers three plans – a Standard Plan. an Explorer Plan and an Explorer Plus Plan – each with different benefits, limits and sub-limits of coverage.

  • Standard Plan: Includes a range of benefits such as overseas emergency medical, cover for your belongings, pre-trip cancellation and certain adventure activities.

  • Explorer Plan: Has all the benefits of a Standard Plan and a few more, including COVID coverage, plus higher coverage limits and/or sub-limits. 

  • Explorer Plus Plan: Has all the benefits of the Standard and Explorer Plans, with the highest coverage limits and/or sub-limits of all three plans.

Please choose carefully from the outset, as you can’t upgrade from a Standard Plan to an Explorer or Explorer Plus Plan mid-trip.

Medical and medical evacuation

If there’s one big reason to buy travel insurance, this is it. In many cases, if you get sick, the hospital won’t treat you without upfront payment or providing proof of an insurance policy.

New cases of Coronavirus (COVID-19) continue to be diagnosed around the world. If you are planning on traveling overseas, please be aware that many countries are restricting or banning travel.

If you are planning on traveling or transiting through any countries internationally, please check any travel advices issued by your Country of Residence and monitor the situation through local and international media as it may affect your travel insurance policy.

I’m concerned about how Coronavirus may affect my travel plans. What do I do?

  • Contact your airline, cruise or tour operator to check if tourist services are affected or if you need to change your travel arrangements. Always contact your airline, cruise company or travel agent for assistance in the first instance.
  • Refer to your policy wording for more detail or contact our Customer Service Centre to discuss your plans before making any changes. All policy terms, conditions, limitations and exclusions apply.
  • Ill with COVID just before traveling? Unsure if you are covered for trip cancellation because of COVID? Contact us as soon as possible. Our Explorer Plan offers cover for some coronavirus related events such as cancellation, trip interruption expenses and some quarantine costs. Cover depends on your Country of Residence, and which plan you’ve selected.
  • In the event of a claim covered by your policy, you must do everything you can to minimize and reduce the cost of the claim and provide all supporting documentation of the event and expenses incurred. If you intend to submit a claim, please complete the claim form and if you need help doing this, contact us.

What to do if there are cases of COVID-19 in countries that you’re traveling in

  • Get an international COVID-19 vaccination certificate.
  • Organise any documentation your destination needs, such as COVID-19 entry declarations.
  • If your destination or airline needs evidence of a negative COVID-19 test result, book a COVID-19 test. Make sure to check the test types accepted and timeframes they need the test done within, and plan ahead.
  • All travelers should follow local authorities’ advice, check COVID -19 travel alerts, as well as the World Health Organization (WHO) advice and keep updated via local media and reports on what is happening.
  • We recommend that you avoid all high-risk areas where there are large crowds of people and in particular avoid farms, live animal and seafood markets, and areas where animals are slaughtered, including avoiding contact with animal secretions or droppings.
  • Use hand sanitizer and wash your hands regularly with soap and water.
  • Consider purchasing a face mask for your travel as it may help reduce your risk of exposure to COVID-19.
  • Contact your airline or travel company for information about changes to flight services.

Am I covered if my next trip is affected by COVID-19?

The level of coverage you’ll have for any Coronavirus related events under our Standard and Explorer plans will depend on your Country of Residence. If you are diagnosed with COVID-19 while overseas, your benefits may include:

  • 24/7 access to our Emergency Assistance Team, who can help you access local medical care.
  • Medical costs including hospitalization.
  • Evacuation or repatriation if deemed medically necessary by us and in consultation with your attending physician.

Some of our Explorer plans also offer coverage for some additional Coronavirus-related events such as cancellation following a diagnosis to assist our travelers.

  • Being under the influence of narcotics.
  • Travel within 100 miles of your home.
  • Unattended baggage, sporting equipment or personal items.
  • Wear and tear from everyday use of sporting equipment. Gear that is in use is not covered.

  • Going wherever the breeze blows? If you want to cross the border, check with our customer service team first as your plan may not apply in all countries.
  • Traveling long-term: You can buy another plan for more travel insurance coverage while abroad (waiting periods may apply) even if you don’t have a return ticket. And if you plan to take numerous trips during the year, then the Annual Multi-Trip plan could be best for you.
  • Stay healthy: hiking requires a certain amount of strength and stamina, and in some cases (like the Inca Trail or trekking in Nepal), the ability to handle altitude. It’s best to be sure you are physically capable of it. Consider using our non-insurance service partner to initiate an online consultation to obtain prescription medications for the most common travel needs, like altitude sickness pills, delivered to your door before you leave on your trip (costs may apply).

Travel insurance may not always be required, but when that illness, injury, baggage delay or trip interruption occurs, and you’re left out in the cold in a foreign country it could come in very handy. World Nomads may offer travel insurance for several events, some of these include:

How are my electronics covered?

World Nomads may be able to replace, repair or recover the costs of your tech devices when stolen, lost or damaged under your supervision, in certain circumstances. Benefits are available only after exhausting other sources of compensation, such as from your common carrier (this can be a public airline, bus or train company licensed to carry passengers for a fee, excluding taxis and rental vehicle companies, and operating to regular public schedules/timetables).

Remember, depreciation and wear and tear on your gear are taken into account when we review your claim, and claims are subject to per item limit and total maximum benefit amount, which can be found in your policy wording.

In the event that your equipment is delayed, lost and/or accidentally damaged by a common carrier, you must report the incident as soon as reasonably possible to a responsible officer for the carrier.

You must also get a Property Irregularity Report (PIR) or a similar official report and make a claim directly with the carrier as a first step.

What's not covered by travel insurance?

  • When you mindlessly leave your gear behind (like that time when you forgot your very expensive camera and lenses in a taxi on your way to the airport).
  • Whenever you leave items (including tablets, laptops, photographic or video equipment, mobile phones and other hand-held devices) unattended, including in a car, boat, tent or camper trailer or checked in with your common carrier.
  • Gear or equipment that you use for professional purposes.
  • Electronic malfunctions (you'll have to hit up the manufacturer).
  • When you fail to file a loss or theft report with the local authorities or the representative of the venue where it took place, such as a common carrier, tour operator or other travel provider.

Tips for digital nomads

Bag snatched in Latvia.

It was my final day in Riga, Latvia. In my small bag I keep all my valuables, because hostels can't always be reliable with safekeeping. It contained my new GoPro, Iphone, digital camera, laptop and hard drive, plus my emergency money (200 euros). I planned on using my cameras and computer for editing later that afternoon. The coast was amazing and, as it got late, I decided to take the train back to Riga city. As I was getting off the train, down the vertical steep steps, I had my bag snatched off my shoulder. In seconds, the doors closed and the train pulled off. Telling authorities on the platforms immediately, they could not assist and referred me straight to the police. Feeling helpless, I went to the police where I was kept for hours, because of English barriers and translations of documents. I walked out just after midnight with my report. A day trip I won't forget soon.
