What to do if you can’t travel because someone at home is sick or injured

If a family member or close relative at home suddenly falls ill, it’s understandable you may not want to continue your travel plans.

Whether you’ve booked but not left yet or are halfway through your trip and need to fly home, here’s what to do when you have no option but to cancel your trip to be by the side of someone you care about.

1. Rearrange or Cancel Your Bookings

As soon as you know a close relative is ill and you are unable to travel or have no choice but to curtail your trip after you’ve left, you must try to rearrange any pre-booked or pre-paid accommodation, transport, or tours, or if necessary, cancel them.

2. Get It in Writing

The best way to support your claim is to provide satisfactory written evidence.

Written evidence needs to come from an independent third party and confirm all relevant information, such as the circumstances relating to cancellation, costs incurred, and that pre-paid expenses were non-refundable.

Required Documents Include:

  • Doctor’s report, written medical diagnosis, or medical certificate from the treating doctor confirming it is medically necessary to cancel or curtail or interrupt your trip.
  • Relevant medical records or reports, including information about pre-existing medical conditions.
  • A report from all relevant travel suppliers or carriers confirming the details around the cancellation, including compensation or offers made to you.
  • Any other relevant documentation related to what happened.

3. Keep Your Itineraries and Receipts

Be sure to keep all relevant itineraries, receipts, and booking and cancellation confirmations from your tour provider/s and carriers.

If you make a claim you must be able to show that the event was unforeseen, unexpected, and occurred after you booked or paid for your travel arrangements and purchased your travel insurance policy.

This is where keeping your itineraries and receipts comes in handy — and can help keep your claim hassle-free. They’ll be able to confirm your intended destinations, dates of purchase, booking and cancellation costs, etc.

4. What If Someone Gets COVID-19 and I Can’t Travel?

If a close relative in your Country of Residence is sick with, and hospitalized due to, COVID-19 and you have to cancel your trip, we may be able to help.

We offer Standard and Explorer Plans, each with different levels of cover. If you’ve purchased an Explorer plan we may be able to help with the costs of pre-paid travel arrangements if you have to return home to your Country of Residence if a close relative is hospitalized with COVID-19.

Like other illnesses, for a valid claim you must be able to provide satisfactory written evidence of diagnosis.

What to do if you have to cancel your trip due to illness or injury

Illness and injury are never fun, especially when they interfere with your travel plans.

If you have no option but to cancel your trip because you’ve fallen ill or become injured in some way, we’re here to help. Because the only thing worse than missing out on your trip is footing the bill when the unforeseen happens.

Here’s what to do in the event you need to cancel:

1. Contact us as soon as possible

If you’ve had an accident, you must notify our 24/7 Emergency Assistance Team as soon as reasonably possible so that we can confirm your cover and manage any potential claim for you.

The team is available 24 hours a day, 7 days a week, 365 days a year and can offer the following assistance:

  • Arranging medical transport.
  • Setting up direct payments to medical facilities.

2. Rearrange or cancel your bookings straight away

As soon as you know you’re unable to travel you must try to rearrange, or if necessary, cancel your bookings as soon as possible. This means contacting any tour operator or carrier where you’ve pre-booked travel arrangements, such as accommodation, transport, or tour providers.

3. Provide all written documents

Written documents are the best way to support your claim. They need to come from an independent third party and provide evidence pertaining to the illness or injury that is preventing you from traveling or continuing your travels, and any relevant confirmation relating to cancellations made with your travel providers, such as the costs incurred, whether the pre-paid expenses were deemed non-refundable, or if refundable, what refunds were provided.

Required documents include:

  • Doctor’s report, written medical diagnosis, or medical certificate from the treating doctor confirming it is medically necessary to cancel, curtail or interrupt your trip.
  • Relevant medical records or reports regarding your illness or injury, including information about pre-existing medical conditions.
  • Ambulance report if one was required.
  • Police report if they were involved.
  • Hospital admission report if the person was admitted to the hospital.
  • A report from all relevant travel supplier or carrier confirming the details around the cancellation, including refund or offers made to you.
  • Any other relevant documentation related to what happened.

4. Don’t forget your receipts

If you need to cancel your travel plans due to illness or injury, you’ll need to provide relevant receipts, itineraries, and bookings and cancellation information (including any refunds received).

Your receipts are pertinent to your claim, and they can help keep things hassle-free so you can focus on getting better.

5. Am I covered if I cancel my trip due to COVID-19?

If you or a member of your traveling party are diagnosed with coronavirus and you have no option but to cancel your trip, or if your travel plans are impacted after being diagnosed with coronavirus during your trip, we may be able to help.

We offer Standard and Explorer Plans, each with different levels of cover. It’s important to note that cover is only available for Coronavirus travel costs if you’ve purchased an Explorer Plan. And we don’t provide cover for any expenses you incur after you return home to your Country of Residence.

Like other illnesses, for a valid claim you must be able to provide satisfactory written evidence of diagnosis as well as all the other details outlined above.

What level of travel insurance coverage do I need for my live action role playing trip?

World Nomads offers four plans for U.S. residents – Standard, Explorer, Epic and Annual – each with different levels of coverage. Even when you’re going on a LARP trip, you may want to do other fun things too, like hiking or camping. That’s totally fine, because you may be covered for more than 250+ other sports, activities and experiences when you purchase a travel protection plan that includes travel insurance coverage and non-insurance services for your LARP adventure.

  • Standard Plan – This is the most basic plan, but includes travel insurance coverage for incidents while LARPing. It includes up to $125,000 in emergency medical expenses and up to $2,500 for trip cancellation.
  • Explorer Plan – This also covers live action role playing, but also covers other activities such as skydiving and triathlons. It also has higher limits of coverage for most benefits.
  • Epic Plan – This covers everything the Explorer plan covers, plus even more activities – including cliff diving and free soloing. It also has the highest benefit limits of coverage.

What may not be covered when on a LARPing trip?

If you arrive at your event, and aren’t vibing with your plot, your live action role playing travel insurance coverage won’t cover you if you want to cut your trip short and go home. Some other things that aren’t covered include:

  • Unattended baggage, LARP gear or personal items
  • Traveling or LARPing within 100 miles of your home
  • Not following ‘Do Not Travel’ warnings issued by the US government prior to departure
  • Damage that happens to your LARP equipment while you are using it.
  • Injuries that happen if you are LARPing under the influence of drugs or alcohol.

Top safety tips we recommend for LARPing safely

Every LARP is different, and we encourage you to make sure an event fits your comfort level before participating. Find out ahead of time what type of story you are joining in, and the combat the event allows. Never make assumptions about safety and always ask questions related to the equipment and actions that are classified as safe. You may also want to save a copy of your plan documents in your phone and have the phone number for the 24/7 Non-insurance Emergency Assistance team easily accessible as well – just in case.

  • What should I do if I get hurt while LARPing?

    If you get hurt while live action role playing, contact local authorities as soon as you’re able to do so for immediate attention.   • Do I get my money back if I cancel a trip?

    Trip cancellation coverage is offered by all plans offered by World Nomads, and you may be reimbursed for pre-paid, unused, non-refundable expenses like flights, tours and accommodations if your trip is cancelled for a covered reason. U.S. residents (except those that live in New York) also have the ability to add additional cancel for any reason coverage when certain World Nomads plans are purchased.

  • What happens if my bags are delayed?

    When you purchase travel insurance coverage for LARP trips, baggage coverage is also included. If your checked-in bags are delayed more than 12 consecutive hours on the way to your destination, your plan may reimburse you for reasonable essential items like toiletries and a change of clothes until you and your bag are reunited. Your coverage also includes non-insurance service that can help track down your bag and get it delivered to you.

Whether you are into fantasy, renaissance, steampunk, or horror, the excitement of participating in live action role play (LARP) can be electrifying. You’re able to step away from the mundane reality and responsibilities of life, and temporarily enjoy some adventurous fun in a fictional setting. 

Most game masters take steps to try to keep the environment safe, but some things can’t be avoided. If you are attacked by a crunchy, step back too far when blocking, and trip over a tree root, that fall to the ground will bring you back to reality quickly. If you have plans to participate in a LARP event on your next trip, you may want to consider a World Nomads travel insurance plan with adventure sports coverage.  

Should I consider travel insurance for LARP? 

Trip and falls are some of the most common injuries that happen while LARPing. When you’re engrossed in the moment as a player character or non-player character, you can become so consumed in your actions that you don’t pay attention to the terrain around you. Uneven ground and a twisted ankle can be scarier than the horde of monsters coming towards you. Getting hit in the eye with a spell packet is not any fun either. A travel insurance plan from World Nomads could assist by helping to reimburse expenses for things like an ambulance transfer, prescription medication, hospital stay, or other emergency medical needs if you get hurt while LARPing. You will still need to have Government Health Insurance Plan (GHIP) coverage in your home province while you are on your trip though. If you don’t, your total limit for all emergency medical expenses during your trip is limited to CAD $40,000.

Does travel insurance cover other adventure activities I might participate in during my trip?

Are you planning to explore even more sports and adventures while you are travelling? World Nomads covers more than 250 activities for Canadian residents. When you get a quote, you can check out our Standard and Explorer plans to compare coverage side by side and decide on the best travel insurance coverage for your needs. 

You will need to list all the activities that you plan to participate in while on your trip at the time that you purchase your policy. You won’t be able to add or remove activities after you make your purchase, so make sure you add them all at that time. 

Level 1 activities like live action role play, archery, canyoning, and golf are automatically covered, but these will still need to be listed when you purchase your policy. However, you will need to pay an additional premium to be covered for Level 2 and Level 3 activities like hang gliding, tandem skydiving, or zip lining. Special conditions may also apply. If you plan on participating in an activity that isn’t listed in your policy wording, you will need to contact us to determine  if you will be  covered. 

What else is covered by travel insurance?

World Nomads covers international and domestic trips, when travelling outside of your home province. In addition to emergency medical coverage, travel insurance may help with several other aspects of your trip. For Canadian residents, World Nomads may also offer coverage for: 

  • Baggage and Gear: If the airline lost the bag that held your favorite boffer sword, baggage cover may help reimburse the cost to replace it if it’s lost by a common carrier.  If your baggage going to your destination is delayed by an airline or ground carrier for 12 hours or more, you may also be reimbursed for things like toiletries or a change of clothes until you are reunited with your bag.   • Trip Interruption and Cancellation Insurance: If something unexpected happens like an illness or injury, and you need to cancel or interrupt your trip, you may be able to recover your unused, prepaid, non-refundable travel expenses.

What are some things travel insurance would not cover?

If you arrive at your event, and aren’t vibing with the plot of your LARP, your adventure travel insurance would not cover you if you wanted to cancel or interrupt of your trip. Some other things that are not covered include:

  • Damage that happens to your LARP equipment while you are using it
  • Injuries that happen if you are LARPing under the influence of drugs or alcohol
  • Pre-existing medical conditions 
  • Participation in other activities not listed as covered in your policy
  • Domestic travel within your home province

Most game masters take steps to try to keep the environment safe, but some things can’t be avoided. If you are attacked by a crunchy, step back too far when blocking, and trip over a tree root, that fall to the ground will bring you back to reality quickly. Should I consider travel insurance for LARP? 

Trip and falls are some of the most common injuries that happen while LARPing. When you’re engrossed in the moment as a player or non-player character, you can become so consumed in your actions that you don’t pay attention to the terrain around you. Uneven ground and a twisted ankle can be scarier than the horde of monsters coming towards you. Getting hit in the eye with a spell packet is not any fun either. Tips for LARPing safely

We’ve learned that every LARP is different, and we encourage you to make sure an event fits your comfort level before participating. Find out ahead of time what type of story you are joining in, and the combat the event allows. Never make assumptions about safety and always ask questions related to the equipment and actions that are classified as safe.  

Here are a few other tips we have found to help keep you safe while LARPing:

  • Drink plenty of water.  
  • Know the safe words beforehand.
  • Read all of the rules. 
  • Listen to the game master and marshal. 
  • Don’t drink and LARP.
  • Wear a helmet.
  • Perform a weapons check.
  • Get rest the day before. 
  • Take breaks when you need to.

Should I consider travel insurance for pickleball? 

Falls are one of the most common pickleball related injuries. You can be proactive and take steps ahead of time to work on your balance, but as you are twisting, turning, and moving across the court, there’s always a possibility of accidents.

A travel insurance plan from World Nomads could assist with things like x-rays, medication, a hospital stay, or other emergency medical needs you may have if you suffer an emergency medical condition and get hurt playing pickleball.

You will still need to have GHIP coverage in your home province while you are on your trip though. If you don’t, your total limit for all emergency medical expenses during your trip is limited to CAD $40,000.

Does travel insurance cover other adventure sports I might participate in during my trip?

You will need to list all of the activities that you plan to participate in while on your trip at the time you purchase your policy. You won’t be able to add activities after you make your purchase, so make sure you add them all at that time. 

Level 1 activities like bungee jumping, hot air ballooning, and roller skating are automatically covered (and will still need to be listed when you purchase your policy). However, you will need to pay an additional premium to be covered for Level 2 and Level 3 activities like snowboarding, rappelling, or hang gliding.

If you are participating in an activity that isn’t listed in your policy wording, you will need to contact us to make sure you are covered. 

What else is covered by travel insurance?

In addition to emergency medical coverage, travel insurance may help with several other unexpected and unforeseen emergency situations you may encounter while you are on your trip.

Tips for playing pickleball

From our own time on the court, we’ve learned that many injuries can often be avoided.  Here are a few tips we have learned from our own experiences as picklers. 

  • Drink plenty of water. This can help prevent dizziness, nausea, and cramps that could cause an injury.  
  • Wear the right shoes. Shoes designed for court sports are best.  The soles are really important since you are moving from side to side and shifting your weight.  Try to find a shoe that has good stability on both the inside and outside of your foot.
  • Wear eye protection. The ball is lightweight, but it can travel at high speeds.  You don’t want it flying toward your unprotected eyes. 
  • Pick the right paddle. Higher quality paddles are made to absorb some of the impact better, and could help you avoid elbow and shoulder injuries. You will also want to make sure the one you choose isn’t too heavy for you.
  • Warm up. Even a brisk 5 minute walk around the court helps get your heart pumping before you play. 
  • Make sure to stretch before and after you play pickleball.  Focus on your ankles, legs, groin, lower back, shoulders, and arms.
  • Don’t play on wet courts. Even though the court’s surface is typically gritty to provide extra traction, it can become slick when wet.
  • Wear sunscreen when playing outside. Look for one that has an SPF of 30 or higher, and reapply it every two hours. 
  • Check with your doctor. You know your body best. If you have physical conditions that you have concerns about, always talk to your doctor first about any exercise limitations that you may have.

How Canadians can protect themselves if a natural disaster strikes

It’s one thing if a rainy day washes out your trekking expedition, but what if a hurricane blows the roof off your home before you leave for your trip? When a natural disaster strikes, it’s hard to classify your trip as anything but… a disaster. But World Nomads can offer some much-needed weatherproofing, with protection for trip cancellations, medical emergencies, and more.

What is a natural disaster?

A natural disaster is a natural event caused by weather or climate that causes destruction or loss, such as an earthquake, widespread flooding, wildfire, hurricane, blizzard or volcanic eruption. It could also mean any weather that causes severe and widespread damage, triggering a travel advisory from the Canadian Government or a ‘natural disaster’ declaration at your trip destination.

How can travel insurance help me if there is a natural disaster during my trip?

While the forces of nature are unpredictable, your travel insurance should be a sure thing. World Nomads provides coverage for:

  • Trip cancellationIf a flood, wildfire, or other natural disaster makes your Canadian principal residence—the primary home in Canada where you normally live—or the place you’re staying at your trip destination uninhabitable, you may understandably need to cancel your trip. In this case, you may be eligible for reimbursement of your nonrefundable, prepaid, unused travel expenses. If the same situation occurs while you’re already traveling, you may also qualify for trip interruption benefits.
  • Trip interruption: If you have departed for your trip and a blizzard (or other inclement weather) delays the scheduled arrival or departure of your common carrier transportation for at least three hours, you may be eligible for trip interruption benefits. Our plans also include trip delay coverage which may provide reimbursement for incidentals (such as accommodations and meals) you incur while you’re waiting.
  • Emergency assistance and emergency medical expenses: if you get caught in an earthquake or hurricane, you may be seriously injured. Your first step should be to call the 24/7 Emergency Assistance Team. If the phone lines are down, call as soon as you can. They can help direct you to safety or to a medical center if you are hurt. They can coordinate your care and set up direct payments to the hospital (if possible).

What is not covered by my travel insurance if there is a natural disaster?

  • You’re a storm chaser or put yourself in a storm’s path.
  • You don’t follow the advice of the authorities.
  • You hang around the area at risk to watch what happens.
  • You buy a plan after an event becomes known (like after a storm is forecast or a hurricane is named).
  • Search-and-rescue missions, like after an avalanche.

One night, I was on the surf charter boat, in the Mentawai Islands, Sumatra, Indonesia. There was an earthquake and tsunami that hit and completely destroyed the boat. The boat caught fire. What else is covered by travel insurance?

Travel insurance is designed to cover losses arising from sudden, unexpected, and unforeseeable circumstances. For US residents, World Nomads may offer coverage for: 

  • Baggage protection: All plans include the non-insurance service Blue Ribbon Baggage, which will track and expedite the return of your airline baggage if it is lost or delayed. If you checked your equipment with a common carrier and it gets lost or damaged, or stolen after your arrival, you could get reimbursed for its current value (which factors in depreciation) or the cost of a replacement, up to a per item and total maximum limit. You must report the incident as soon as possible to the carrier and ensure you get a Property Irregularity Report, or a similar official report, in writing and make a claim directly with the carrier first before making a claim with us. (Please note we do not offer coverage for damage to sporting equipment while in use.)  
  • Emergency medical coverage:  Emergency medical coverage may help reimburse you for expenses like an ambulance rides, medication, or a hospital stay. If you get hurt, your health insurance may not always cover you when you are traveling to destinations outside of your network or plan.  
  • Trip cancellation insurance: If something unexpected happens like an illness or injury, you may be able to recover your unused, prepaid, non-refundable travel expenses through our trip cancellation,  trip interruption and trip delay benefits.

Safety tips for playing pickleball

From our own time on the court, we’ve learned that many injuries can often be avoided. Here are a few tips we have learned from our own experiences as picklers.

  • Drink plenty of water. This can help prevent dizziness, nausea, and cramps that could cause an injury.  
  • Wear the right shoes. Shoes designed for court sports are best.  The soles are really important since you are moving from side to side and shifting your weight.  Try to find a shoe that has good stability on both the inside and outside of your foot.
  • Wear eye protection. The ball is lightweight, but it can travel at high speeds.  You don’t want it flying toward your unprotected eyes. 
  • Pick the right paddle. Higher quality paddles will more effectively absorb some of the impact and could help you avoid elbow and shoulder injuries. Make sure you choose one that isn’t too heavy for you.
  • Warm up. Even a brisk 5-minute walk around the court helps get your heart pumping before you play. 
  • Stretch. Make sure to stretch before and after you play pickleball, focusing on your ankles, legs, groin, lower back, shoulders, and arms.
  • Don’t play on wet courts. Even though the court’s surface is typically gritty to provide extra traction, it can become slick when wet.
  • Wear sunscreen when playing outside. Look for one that has an SPF of 30 or higher and reapply it every two hours. 
  • Check with your doctor. You know your body best. If you have physical conditions that you have concerns about, always talk to your doctor first about any exercise limitations that you may have.

What’s covered

Traveling can be complicated, but travel insurance shouldn’t be. We keep it simple at World Nomads with just two policies to choose between: Standard and Explorer. Depending on your Country of Residence and the plan you have selected, you may be covered for:

  • Coverage for extended stays: if you decide to stay a little longer than planned, no problem; with World Nomads you can easily log in and extend your insurance coverage. 
  • Buy insurance while traveling: already in the USA and have skipped getting travel insurance? With World Nomads, you can get a quote and purchase insurance while you’re on the road. However, your policy won’t be fully active until 72 hours later. For more information on waiting periods, read the Policy Wording.
  • Sports and activities coverage: from rafting through the Grand Canyon, to windsurfing in Maui, World Nomads offers coverage for more than 150 sports, activities, and experiences for your next. 
  • Family plans: add your children and grandchildren to our policies at no extra cost. Our cover includes two adults and up to eight dependents on the one policy.

Why should I consider travel insurance for a trip to the USA?

Treatment at an American hospital is very expensive. Traveling without insurance cover could be a very costly oversight.

If you’re planning to hike in the mountains and want to be covered by World Nomads, make sure you speak to us first. Some adventure activities require upgrades to your policy, and some activities are not covered at all.

If your luggage is damaged or stolen while traveling, World Nomads may cover the cost of repair or replacement (within policy limits).

What to plan for when traveling in the USA?

Car insurance: taking a road trip across some of the USA’s 50 states? If you’re hiring a car, World Nomads can offer cover for rental vehicle excess damage coverage in case your vehicle is stolen, or you are involved in an accident.

Losing your luggage: Hartsfield-Jackson Atlanta International Airport is the world's busiest airport – which means things can get lost. If you land at any airport and your luggage does not, we can help. If your baggage is delayed by the carrier for more than 12 hours after your scheduled arrival, we can pay for the cost of your essential items (up to policy limits), and subject to the policy terms, conditions, limitations and exclusions.

Coronavirus: unfortunately, COVID-19 is still with us, however World Nomads offers Coronavirus cover which varies depending on your Country of Residence. Coronavirus can be a headache (literally), but if you (or an immediate family member) get sick with Coronavirus, our Standard Plan can offer coverage for medical assistance, repatriation, and hospitalization. Overseas emergency medical: if you’ve had an injury or need urgent medical attention and require a medical center or hospital, you must contact our 24/7 Emergency Assistance Team in the first instance. It will confirm if the treatment is medically necessary and advise you on what to do, help locate suitable medical facilities (particularly in remote areas where access to medical care can be tricky) and monitor your medical treatments if needed to make sure you’re given proper care.

Trip cancellation: one of the biggest questions with any international travel currently is related to cancellations. Depending on your Country of Residence and which plan you’ve selected you may be covered for your non-refundable, pre-paid transport and accommodation expenses. Always make sure you read the details of your Policy Wording carefully, so you know what you are covered for. If in doubt about coverage and our plans, contact us.

Accessing our 24/7 Emergency Assistance Team: it’s good to know with World Nomads travel insurance, you can call our 24/7 Emergency Assistance Team if you suddenly find yourself in a crisis overseas. The EA 24/7 team can help get you to the nearest medical facility, provide help navigating language barriers, or assist with evacuation for medical reasons.

For injuries where treatment costs are not expected to exceed NZD$2,000, you can submit your receipts for reimbursement. If you are hospitalised or if your treatment expenses as an outpatient are likely to go above NZD$2,000, you must call our Emergency Assistance Team who will work with us to confirm cover and they will liaise with the hospital on your behalf to arrange payments.

Traveller tip 2: if you’ve suffered a theft, get a Property Irregularity Report or other incident report from the carrier so you can submit it with your claim, as well as a police report. You should also have copies of the original receipts for your valuables and any luggage tickets.
